Getting Started

Which markets does Mech Connect support?

Mech Connect is built from the ground up for modern automotive workshops. That means M-Pesa integration, multi-currency support (KES, GHS, NGN, TZS, UGX, and more), mobile-first design for on-the-floor use, and workflow configurations that reflect how real garages operate day-to-day.

How long does onboarding take?

Most single-garage teams are processing their first live job cards within the first day of setup. A guided onboarding flow walks you through creating your garage profile, adding services, loading your inventory, and running your first test engagement. Multi-branch onboarding with data migration is scoped case by case and typically takes one to three weeks.

Do I need technical knowledge to set up Mech Connect?

No. Mech Connect is designed to be set up by garage owners and managers — not IT consultants. The configuration wizard guides you step by step through your garage profile, service catalog, inventory, and team setup. Our support team is available to walk through setup with you.

Can I import my existing customer and vehicle data?

Yes. We support CSV import for clients, vehicles, inventory items, and suppliers. For larger migrations — especially from existing accounting systems or other garage software — our Enterprise onboarding team handles the migration process.

Workflow & Operations

What is the 8-stage job card workflow?

Every vehicle in Mech Connect moves through eight defined stages: (1) Drop-off / Vehicle Selection, (2) Reporting — initial customer notes and intake, (3) Condition Checklist — inspection of the vehicle condition, (4) Diagnosis — technical findings and root cause, (5) Estimates & Quotation — parts, labor, and total cost for customer approval, (6) Job In Progress — technician assigned and work underway, (7) Invoice & Payment — billing and collection, and (8) Job Completed — vehicle ready for collection. You can track every vehicle's stage in real time.

Can technicians use Mech Connect on mobile?

Yes. The Technician Panel is a mobile-first interface designed for workshop floor use — including with gloves on. Technicians can view their assigned jobs, update progress, attach photos, and mark tasks complete from their phone. It works on Android and iPhone browsers without needing an app download.

How do digital inspections work?

You create inspection templates with checklist items relevant to your service types — for example, a full service checklist or a pre-purchase inspection template. When an inspector runs the checklist, they photograph evidence, record findings, and add notes. The completed inspection generates a branded PDF report that can be shared with the customer, and the findings automatically populate into the estimate line items.

Can customers approve quotes from their phone?

Yes. When you send a quotation, the customer receives a link via SMS or WhatsApp. They can view the itemized quote on their phone and approve or reject it with one tap. You see the approval status instantly in your dashboard. Approved quotes convert to active job cards in one click.

Can I manage multiple workshops from one account?

Yes. Multi-branch management is built into the Growth and Enterprise plans. Each branch operates independently with its own job queue, inventory, and staff — while head office has a consolidated dashboard with roll-up reporting, cross-branch inventory visibility, and centralized access control.

Finance & Accounting

Does Mech Connect have built-in accounting?

Yes. The Growth and Enterprise plans include a full double-entry accounting system — chart of accounts, journal entries, bank reconciliation, expenses and bill management, credit and debit notes, and complete financial statements (P&L, balance sheet, cash flow, trial balance). Your invoices and purchases automatically post to the ledger. No separate QuickBooks required.

Does it support M-Pesa payments?

Yes. M-Pesa is a first-class payment method in Mech Connect. You can record M-Pesa receipts against invoices, reconcile your M-Pesa wallet account, and track M-Pesa as a separate payment channel in your financial reports. Mpesa Pay Bill and Till integration is available on request.

Can I track profitability per job?

Yes. When you issue parts to a job, the cost of those parts is tracked against the job revenue. You can see the gross margin per engagement — revenue minus parts cost and labor cost — across all your jobs, filterable by technician, service type, vehicle make, or date range.

What financial reports are available?

Profit & loss statement, balance sheet, cash flow statement, trial balance, general ledger, bank transactions, accounts receivable aging, accounts payable aging, sales by customer, sales by vehicle, sales by item, sales by service type, sales by vehicle make, VAT/tax reports, withholding tax reports, and customer and supplier balance summaries.

Does Mech Connect support VAT?

Yes. VAT configurations for Kenya (16%), Ghana (15%), Nigeria (7.5%), and Tanzania (18%) are built in. You can configure your VAT registration number, apply VAT to specific services and parts, and generate VAT reports by period for filing.

Inventory & Parts

How does inventory tracking work?

Mech Connect maintains real-time stock levels updated by every movement — goods received on purchase orders, parts issued to job cards, counter sales, stock adjustments, and inter-branch transfers. You always see the current stock level for every item across all your locations.

Can I manage parts across multiple branches?

Yes. Each branch has its own stock, but head office can see all branch stock levels simultaneously. You can raise inter-branch stock transfer requests, which go through an approval flow before the inventory is moved and updated in both locations.

How does parts-to-job tracking work?

When a technician uses a part on a job, it is issued from stock directly against that job card. This reduces your inventory count immediately and links the part cost to the job's profitability calculation. You can see exactly which parts were used on any job and verify against the invoice.

Can I create purchase orders and receive stock digitally?

Yes. You can create purchase orders from your supplier directory, route them for approval, and mark them as received when the goods arrive. The goods received note updates your stock automatically. The purchase then links to the supplier bill for three-way matching and accounting.

Customer & Marketing

Does Mech Connect send automated SMS updates to customers?

Yes. Automated SMS notifications fire at key moments in the job workflow — booking confirmation, job status updates, quote ready for approval, and collection notification. You can customize the message templates and the trigger points.

Can I run WhatsApp marketing campaigns?

Yes. The Growth and Enterprise plans include WhatsApp Business API integration. You can send approved template messages for service reminders, promotions, and follow-ups to segmented customer groups. WhatsApp campaigns typically have much higher open rates than email.

How does the CRM work for lead management?

The CRM includes a full lead management pipeline with a Kanban board, task assignment, follow-up scheduling, and deal value tracking. Leads can be captured from walk-ins, phone inquiries, or via a public lead form link you share on WhatsApp or social media. The funnel tracks conversion rates by source and period.

Can customers book appointments online?

Yes. You get a shareable booking link that you can add to WhatsApp, your Google Business profile, or your website. Customers select a service, date, and time. Automated confirmations and reminders are sent. The booking appears in your scheduling calendar and creates a pending engagement.

Data, Privacy & Security

Is my data safe on Mech Connect?

Yes. All data is encrypted in transit (TLS) and at rest. We run on enterprise-grade cloud infrastructure with automated backups, and we comply with data protection regulations applicable in our operating markets. Your data is yours — you can export it at any time.

Who can see my garage's data?

Only the team members you authorize can access your data, with the exact permissions you define per role. Our support team can access your account only with your explicit consent during a support session. We do not share your data with third parties.

Can I export my data?

Yes. You can export customers, vehicles, inventory, invoices, financial reports, and other data as CSV or PDF at any time. We do not lock your data in — if you ever need to leave, your full data export is available.
