How to Manage M-Pesa Payments in Your Garage (Without Losing Track of a Shilling)

M-Pesa runs Kenyan garage payments, and unmanaged it runs them into confusion: till setup, matching payments to invoices, daily reconciliation, float vs bank, and the controls that stop leakage.

How to Manage M-Pesa Payments in Your Garage (Without Losing Track of a Shilling)

M-Pesa is how Kenya pays, and your garage is no exception: deposits, invoice payments, walk-in parts sales, all of it flowing through a till number all day. The convenience is real. So is the chaos that comes with it when the flow is unmanaged: payments nobody matched to an invoice, a till statement that disagrees with the books, money received on someone's personal line "just this once", and a month-end where the accountant is doing archaeology on SMS messages.

Here is how well-run garages manage M-Pesa, from setup to daily reconciliation.

Get the setup right first

Use a proper business till, only. A Lipa na M-Pesa till (or Paybill) in the business's name, on the business's records. The moment a customer pays a personal number, the transaction leaves your books, your visibility, and your control, and it eventually leaves an argument behind. The rule is absolute and applies to the owner most of all: no personal numbers, ever, including "the till was down".

Decide who can touch the money. Receiving a payment and confirming a payment are different jobs. The person at the counter records the payment against the invoice; withdrawals from the till to bank follow a fixed rhythm and a second pair of eyes. Small formality, large protection, for the business and for the honest people handling the money, the same protect-the-innocent logic from our theft prevention guide.

The one rule that creates order: every payment lands on an invoice

An M-Pesa confirmation SMS is not a record; it is a rumor of revenue. Order comes from a single discipline: every payment is recorded against a specific invoice at the moment it arrives. Customer pays the deposit, it lands on the job's invoice. Fleet client clears three invoices at once, the amount is split across all three, on the record. Walk-in buys a filter, the counter sale takes the payment directly.

Do this and questions that torment garages answer themselves instantly: has this customer paid? How much is outstanding on this job? What did we actually collect today? On Mech Connect, recording a payment against an invoice is a ten-second action at the counter, and the receivables picture updates itself.

Daily reconciliation: ten minutes that buy certainty

Every evening, three numbers meet: the till statement's total for the day, the payments recorded in the system, and (for cash) the drawer. They must agree. When they do, close the day. When they do not, find out today, while memories are hours old and the explanation is "I forgot to record the 2pm payment", not months old and unanswerable.

This is the single habit that separates garages that trust their numbers from garages that argue about them. It takes ten minutes because the system did the bookkeeping all day; the evening is just confirmation. Bank and cash channels reconcile the same way, each against its own record, as part of the accounting that writes itself.

Float, fees, and the trip to the bank

Treat the till like a cash drawer with a network connection: decide a float ceiling, and sweep the excess to bank on a schedule, recorded as a transfer, not vanished into thin air. Transaction fees are a real business expense; record them, they are deductible, and they belong in your service pricing math. And customer withdrawals ("just send my refund to this number") follow the same formality as any payment out: documented, approved, on the record.

What this unlocks

Managed this way, M-Pesa stops being a compliance headache and becomes an asset: instant payment at vehicle collection ("approve the invoice, pay from your phone, keys in hand"), deposits that actually arrive before big jobs, clean daily takings for the weekly cashflow review, and books that satisfy your accountant and KRA without reconstruction. One of our garage owners said it plainly: "the customer approves on their phone, and we get paid before they leave. The M-Pesa integration alone is worth it."
